Comparing Microsoft 365 and Google Workspace for BC businesses

For most BC small businesses, Microsoft 365 is the right choice. That’s not a hedge — it’s our honest recommendation based on years of deploying and managing both platforms for companies across Interior BC. Google Workspace has its place, but the depth of the Microsoft ecosystem, the security tooling in Business Premium, and the simple fact that most Canadian businesses run Windows makes M365 the default we recommend.

Here’s why — and when Google Workspace actually makes sense.

What Each Platform Includes

Both Microsoft 365 and Google Workspace give you:

Business email with your domain (Outlook vs. Gmail)
Document creation and editing (Office apps vs. Google Docs/Sheets/Slides)
Video calling (Teams vs. Meet)
Cloud file storage (OneDrive/SharePoint vs. Google Drive)
Chat/messaging (Teams vs. Chat)
Calendar and contacts

The differences are in depth, ecosystem, security tooling, and pricing.

Email and Calendar

Microsoft 365 (Outlook): Full-featured desktop client on Windows and Mac. Excellent for businesses that handle high email volume, need complex calendar management, or use Exchange-dependent features (shared mailboxes, distribution lists, public folders). Deeply integrated with the Windows ecosystem.

Google Workspace (Gmail): Runs primarily in the browser. Incredibly simple and fast. Better for teams that prefer a minimal, web-first approach. Gmail’s spam filtering is arguably the best in the industry.

Our take: Outlook’s depth — shared mailboxes, distribution lists, complex calendar delegation, public folders — is genuinely ahead of Gmail for business use. For most BC professional services firms, Outlook is the standard for good reason.

Documents and Office Apps

Microsoft 365: Full desktop apps (Word, Excel, PowerPoint, Access, Publisher) plus web versions. If your business creates complex spreadsheets with macros, detailed Word documents with formatting, or PowerPoint presentations for clients, M365 is significantly more capable.

Google Workspace: Google Docs, Sheets, and Slides are excellent for collaboration and straightforward document work, but they struggle with complex formatting, Excel macros, and the kind of dense spreadsheet work accountants, engineers, and financial analysts do regularly.

Our take: If your team does any real document work — formatted reports, financial models, client presentations — Word, Excel, and PowerPoint are meaningfully better tools. Google Docs is convenient for simple collaboration but hits a ceiling fast. For BC professional services, this isn’t close.

Collaboration and Meetings

Microsoft Teams has become the de facto standard for business communication in Canada, especially after 2020. It handles video calls, persistent chat, file sharing, and project channels in one interface. The integration with SharePoint, Outlook, and the rest of M365 is deep.

Google Meet is simpler and more reliable for straightforward video calling. Google Chat is functional but less feature-rich than Teams for complex team workflows.

Our take: Teams is the more capable platform for any business with multiple people working together. If you’re already in M365, using Teams is a natural extension — and it gets better the more of the Microsoft stack you’re using.

Security

This is where the plans diverge significantly at the higher tiers.

Microsoft 365 Business Premium includes:

Microsoft Defender for Business (enterprise-grade EDR)
Intune (mobile device management)
Conditional access policies
Azure Active Directory Premium (P1)
Microsoft Purview (data loss prevention)
Advanced email threat protection (Defender for Office 365)

Google Workspace Business Plus / Enterprise:

Endpoint management
DLP controls
Advanced phishing and malware protection
Vault (archiving and eDiscovery)

For BC businesses with real security requirements — particularly professional services handling client data, healthcare, legal, or financial services — Microsoft 365 Business Premium’s security stack is more mature and comprehensive than what Google offers at an equivalent tier.

Winner: Microsoft 365 Business Premium for security-conscious BC businesses.

Licensing Structure

Both platforms are structured with entry, mid, and premium security tiers. Both offer monthly or annual billing. The tiers map roughly to the same levels of capability.

The real question isn’t the licence — it’s fit. A platform your team doesn’t actually use well serves nobody.

Migration Considerations for BC Businesses

Switching from Google Workspace to M365: Moving email, Drive files to SharePoint/OneDrive, and calendar entries requires planning. Tools exist for this migration, but allow 2–4 weeks for a clean transition. Adroit Technologies handles Google-to-M365 migrations for BC businesses.

Staying on your current platform: If your team is already proficient and happy on either platform, the switching effort (time, training, disruption) is real. Don’t switch just to switch.

Our Recommendation for BC Small Businesses

Microsoft 365 is our default recommendation — full stop — for the vast majority of BC small businesses. Start with Business Standard for the full Office app suite, and step up to Business Premium if you’re serious about security (which, in 2026, you should be).

The only scenario where we’d actively recommend Google Workspace instead:

Your team is entirely Mac or Chromebook-based with no Windows PCs
You’re a very early-stage startup that wants the absolute simplest setup possible
Your entire workflow is already built around Google products (Drive, Sheets, Meet) and migration pain outweighs the benefits
