Email and Calendar (Outlook/Exchange): Business-class email with your own domain, shared calendars, and contacts sync across devices. Far more reliable and professional than Gmail with a custom domain.

Document Apps (Word, Excel, PowerPoint, OneNote): Full desktop and web versions of Office apps, always up to date, available on up to 5 devices per user.

File Storage and Sharing (OneDrive + SharePoint): 1TB of cloud storage per user (OneDrive), plus team document libraries (SharePoint). Access files from anywhere; share externally with permission controls.

Communication (Teams): Video calls, chat, file sharing, and meetings — the hub for how most BC teams collaborate, especially with remote workers.

Security (varies by plan): From basic MFA to advanced threat protection, conditional access, and endpoint management — what you get depends on your plan tier.

Microsoft 365 Business Plans: Which One Do You Need?

As of 2026, Microsoft offers four main tiers for small/medium businesses:

Business Premium	Standard + advanced security (Defender, Intune, conditional access)

Our recommendation for most BC small businesses: Business Premium. It includes everything in Standard plus Microsoft Defender for Business, Intune (device management), and conditional access policies — and in the current threat landscape, those aren’t extras, they’re the baseline.

Business Premium makes it dramatically harder for attackers to compromise your accounts, gives you proper device management from day one, and satisfies most cyber insurance security requirements without bolting on third-party tools. The price difference over Standard is modest. The security gap is not. If you’re a BC professional services firm, healthcare provider, or any business handling client data, Premium is the right starting point — not an upgrade you get to eventually.

Setting Up Microsoft 365 for Your BC Business: Common Mistakes

Not configuring email authentication (SPF, DKIM, DMARC). Out of the box, Microsoft 365 does not protect your domain from spoofing. Without SPF, DKIM, and DMARC properly configured, anyone can send email that appears to come from your domain. This is the root cause of many business email compromise attacks in BC.

Not enabling MFA for all users. Microsoft 365 supports multi-factor authentication, but it’s not always on by default. Every account without MFA is an open door. In 2026, there is no excuse for any BC business to have user accounts without MFA enabled.

Leaving default sharing settings in place. SharePoint and OneDrive default sharing settings are often too permissive. New staff members or mistaken sharing can expose confidential documents. Review and tighten these settings during setup.

Not assigning proper admin roles. Many small businesses make every user a Global Admin “for convenience.” This dramatically increases your attack surface. Assign only the minimum permissions each person needs.

Skipping the migration. Moving from Gmail, Outlook.com, or an old on-premise Exchange server is tedious. Skipping it (keeping your old email running while running M365 in parallel) creates confusion and security gaps. Do the migration properly, with a tested cutover plan.

Microsoft 365 Migration for BC Businesses

If you’re moving from:

Gmail/Google Workspace: Microsoft provides a migration tool, but it requires planning. Email, contacts, and calendar items all need to migrate. Allow 2–4 weeks for a clean migration with minimal disruption.

Either way, this is almost always worth paying a professional for — a botched migration can result in lost email, broken calendar access, and days of cleanup.

Microsoft 365 vs. Google Workspace

The short version: If your team already uses Windows PCs and knows Office apps, stay with M365. If you’re a Mac/Chrome-first team with light document needs, Google Workspace is simpler. For most BC professional services firms, M365 is the better long-term choice.
